Signed documents: rules and authorisations from a phone
Your customers read and sign with their finger from a QR code or a link, receive their PDF copy, and you can always see who has signed and which version.
Park rules, authorisations for minors and any other document are signed without paper. Everything is managed in Customers → Documents.
Prepare a document
- In What can be signed, click New document, or Edit text on an existing one.
- Write the text. With Insert automatic data you add details that fill themselves in when signing, such as the customer's name or the venue's company name. On the right you have a preview with sample data.
- In Checkboxes the customer ticks, add each choice separately and mark whether it is Required. Image consent, for example, is best left optional.
- Save. The switch on each card turns the document on or off.
Changing the text or the checkboxes creates a new version. Anyone who signed the previous one is shown in orange until they sign again.
How the customer signs
Click QR and link on the document's card: you can Copy link, open it or Print QR to keep it at reception. The customer opens it on their phone and follows three steps: Read, Your details and Sign. When they finish, they receive a PDF copy by email, with a link to withdraw their consent whenever they wish.
- If the person is under 14, their father, mother or guardian signs. Between 14 and 17 they can choose who signs.
- An adult can add the minors who come with them and sign for all of them at once; each one gets their own document.
- If there is already a signature from that person for the current version, they don't need to sign again.
- Signing creates or updates the signer's customer record.
See who has signed
In Signed you have the venue's list with the customer, the document, the version, the date and whether the copy was sent by email. Search by name, ID number, email or reference. Click a row to see the signature, the checkboxes they ticked and their details. From there you can View PDF, Open customer, Resend copy, Revoke or Delete. Revoking keeps the signature; deleting erases it for good along with its PDF. Every time someone on the team opens the record or downloads the PDF, it is logged.
Require the signature at the till
In the product, choose the document in Signed document required. The POS will ask for the customer and Who's coming in?; if any signature is missing, it shows the QR code so they can sign on the spot and, once that's done, you click Check and charge.
