Users, roles and permissions for your team
Add each person on your team, assign them their venues and a role with just the right permissions, and approve access requests.
Each person on your team logs in with their own user account. What they see and what they can do depends on the roles they have and the venues you assign them.
Adding a person
- Go to Settings → Users and click + New.
- Fill in First name, Email, Position and a Password of at least 8 characters.
- If they will take payments at the till, give them a POS PIN of 4 to 8 digits.
- Tick their Roles and the Venues where they work, and save.
If the Account activated notice is turned on in Settings → Automatic emails, the person receives an email saying they can now log in. The password is not included in that email: tell them yourself. Afterwards they can change it from their Profile.
Access requests
If someone signs in with Google using an email that does not yet have an account, they can send a request. It appears at the top under Account requests with Approve and Reject. To reject, you have to write the reason. In both cases the requester is notified.
Roles and permissions
A role is a set of permissions. In Settings → Roles and permissions, click + New, give it a name and tick what it can do. Permissions are grouped by area, and the header checkbox turns on the whole area. From a role's record you can also Edit, Copy role to start from an existing one, or Delete. System roles cannot be deleted.
Managing the team
- Click a user to see their record, their last login and the What they can do section.
- With Edit you change their details, roles or venues, or set a New password.
- Disable cuts off their access. Delete removes them permanently.
- Tick several users with their checkboxes and use Bulk edit to change their roles, venues, position or permissions all at once.
- Filter the list with the search box, All venues and All roles.
Tip: before giving someone access, check in What they can do that their role does not open up more than necessary.
