Refunds and viewing transactions
See everything charged in POS → Transactions and refund a whole sale or part of it, stating the method and the reason.
Every POS payment is recorded as a transaction, with its order, its customer and its refunds. Refunds aren't made from the till window: they are made in the panel.
View transactions
Go to POS → Transactions with your venue selected. At the top you have the period's totals: Paid, Refunded, Net, VAT and Movements. You can filter like this:
- By period: Today, 7 days, 30 days or All.
- By type: sale, refund, gift card issue, wallet top-up or open account.
- By payment method, or by searching for a reference, customer or authorisation code.
Click a transaction to see its details: order lines, payment method, card terminal details, who took the payment, the customer, the linked booking and any refunds it already has.
Make a refund
- Open the transaction and click Refund.
- Amount to refund shows what is left to refund. Leave it as it is to refund everything, or enter a smaller amount.
- Under Refunded via you'll see the method it was paid with, with a note on how the money goes back. It can't be changed.
- Enter the Reason, which is required, and click Save.
Only people with the Set up the POS permission can make refunds. If you don't see the button, ask your manager.
What happens when you refund
- The transaction changes to Refunded or Partially refunded. You can make several partial refunds up to the total.
- If you refund to a gift card or the customer's wallet, the balance is topped up.
- If there is an open till at the venue, the refund is noted in it under its method: only a refund of a cash payment comes out of the expected cash at closing. Refunds of online payments don't go through the till.
- When the sale is fully refunded, inventory items go back into stock. In a partial refund they don't, because it isn't known which specific items are being returned.
- The POS managers receive a notification with the amount and the reason. If the customer has an email address, they are notified too.
Card terminal and online payments
Every refund goes back by the same method used for the payment.
- If it was paid by Card (terminal), also do the refund on the card terminal itself: Uelta records it as a card refund and doesn't touch the till's cash.
- If it was paid online in the shop with Redsys, Uelta asks Redsys for the refund and the money goes back to the customer's card. It's only recorded if Redsys accepts it (response 0900); if not, you'll see Redsys's error. If the gateway isn't set to the same mode (test or live) as the payment, the refund is recorded as online and you have to do it in the Redsys portal.
If you scan a receipt's code at the POS, you'll see its amount and its lines. To refund it, find it in POS → Transactions.
