Change or cancel a booking

Change the date, time or number of people on a booking from its record, let customers change the date from their account, and cancel or refund when needed.

Each booking is managed from its record: go to Bookings → All bookings and click the one you want. To change it you need permission to manage bookings; without it you'll see the record but not the buttons.

Change the date or time

  1. Open the booking and click Edit.
  2. Change the Date, the Session / time (HH:MM), the People (spots) or the Product.
  3. Click Save.
  • If you don't touch the amount, it is recalculated with the price for the new day and time. If you change it by hand, yours is kept.
  • If the amount paid is more than the new total, it is adjusted to the total, and the status changes to Paid or Partial payment depending on what is left.
  • Saving checks the places of the session or day and the venue's resources (not counting the booking itself). If they don't fit and the venue doesn't allow overbooking, Uelta tells you how many places are left.
  • The customer doesn't get any email about this change: let them know yourself.

Let the customer change the date themselves

In each product's record, in the Payment and forms section:

  • The customer can change the date: choose Yes, from their account.
  • Up to how many days ahead: 2 by default.
  • Changes allowed per booking: 1 by default.

The customer logs in to their shop account, opens the booking in My bookings and clicks Change date. They can only choose days and times with spots available that don't cost more than their booking; if the new day is cheaper, the difference isn't refunded. Your team gets a notification and the customer gets the confirmation email with the new date. Customers can't cancel from their account: they have to ask you.

Cancel a booking

  1. Open the booking and click Cancelled (the red button).
  2. Confirm the message.
  • The spots are freed straight away.
  • If the Booking cancelled email is switched on in Settings → Automatic emails, the customer receives it.
  • A cancelled booking can't be reactivated. If you make a mistake, create a new one.
  • Bookings aren't deleted: they stay in the list with their history.

What happens to the money

Cancelling doesn't refund anything on its own: the amount paid stays recorded. To refund it, click Refund on the same record (it only appears if something has been paid):

  1. Tick the Spots you're refunding or enter a Custom amount (€).
  2. Enter the Reason. Under Refunded via you'll see the method it was paid with: it can't be changed. Only if the payment was noted by hand, without a POS or web charge, do you choose Cash or Card.
  3. Check the Total to refund and click Refund. You'll see Refund recorded.

If the booking was paid at the POS or in the online shop, the refund also appears in POS → Transactions. If it was paid online with Redsys, Uelta sends the money back to the customer's card through Redsys; if Redsys doesn't accept it, nothing is recorded and you'll see its error. If it was paid by card on the terminal, also do the refund on the terminal. Only a refund of a cash payment comes out of the till's cash.
