Group appointments: schools, companies and celebrations

Receive group requests from a web form, prepare the proposal and follow each group through to the day of the visit.

Groups (schools, companies, clubs, camps or large celebrations) are managed in Bookings → Group appointments. If you don't see this option, the groups feature isn't active on your account: the administrator can add it in Plan & billing → Features (if your account has a contract, email us at info@uelta.com).

Receive requests from your website

  1. Go to Settings → Web forms.
  2. In Group booking, tick Published.
  3. Use Copy to take the link with you or QR to print it, and put it on your website or social media.

The form asks for the type of group, the name of the school or company, the contact person, phone, email, venue, preferred and alternative date, number of participants, ages and what they would like to do. Each request appears automatically in Group appointments as a new group.

You can also link to this form from the Group card in your online shop.

Create a group by hand

Click New and fill in the venue, date, time, duration, participants, payment status, organisation or company, contact, phone, email, type of group, food list and notes.

Follow each group

Click a group to open its record. At the top you change its status (“new”, “preparing”, “confirmed”, “done”) and its payment status (“not paid”, “partial”, “paid”). Click Save to apply the changes.

  • In Customer, click Edit to change the group's details.
  • In Managers, with Assign you set who on the team is in charge (name and email).
  • Notify team and Notify customer prepare the message for you with the group's details. Once you've sent it, click Mark as sent so it is recorded.
  • In Activity you see everything that has happened with the group.

When a group is no longer active, click Archive; you can bring it back with Restore. Only the super administrator can delete a group permanently.

Tips

  • Use the search box, the status filter and the date filter to see, for example, only the confirmed groups for one day.
  • Groups that request food have their list in the food field, so the team has it to hand.
